Reporting & Documentation Policy

At Primarius Concierge Services, transparency and accurate documentation are fundamental. This policy describes the types of reports, documentation, and evidence we provide to diaspora clients.

1. Standard Deliverables for Procurement & Errands

  • Supplier Sourcing Report: Includes supplier names, contact info, location, brief verification status, and price comparisons. Delivered via PDF or message within agreed timeframe.
  • Price Comparison Sheet: At least 2–3 supplier quotes for requested items (construction materials, solar, appliances, etc.).
  • Procurement Coordination Log: We document all communications with supplier, order confirmations, deposit instructions, and payment receipts (provided by client or supplier).
  • Photo & Video Verification: Upon request (additional fee may apply), we capture images of goods at supplier warehouse, during loading, or upon delivery. Videos are short (30 sec max) showing key details.
  • Delivery Confirmation Report: Proof of delivery photos, signature collection (if any), and transporter details.

2. Investment Facilitation Documentation

  • Investment Opportunity Proposal: Detailed document (4–10 pages) covering market overview, potential ROI, risk factors, required capital, local partner verification summary, and recommended next steps. Fee: $80–$120.
  • Partner/Supplier Verification Report: Includes business registration check, physical site visit (if within Zimbabwe), reference interviews summary, and any red flags identified.
  • Monthly Project Monitoring Report: Progress photos, written update on milestones, contractor compliance notes, and any issues observed. Delivered via secure dashboard or email.

3. Reporting Timelines

Standard turnaround: Supplier sourcing reports within 2–5 business days. Project inspection visit photos within 24 hours after visit. Monthly monitoring reports sent every 30 days from engagement start. Rush requests (less than 48 hours) may incur a 25% expedite fee.

4. Document Retention & Access

We retain client-related reports and correspondence for 3 years. Upon request, we will provide copies of any report previously delivered (additional administrative fee may apply for records older than 12 months). We use encrypted cloud storage for sensitive documentation. Clients are responsible for safekeeping of their own copies.

5. Accuracy & Corrections

We strive for high accuracy. If you identify a factual error in a report (e.g., wrong price quoted, incorrect contact), notify us within 7 days. We will investigate and issue a corrected report at no charge if the error is ours. We are not responsible for errors in information provided by suppliers or third parties.

6. No Legal Certification

Reports and documentation are for internal client use only. They are not certified legal documents, valuation reports, or audited financial statements. Do not rely solely on our reports for binding legal or investment decisions without independent verification.

7. Delivery Method

Standard delivery via email (PDF/JPEG/MP4). Large video files may be shared via secure cloud link (expires after 30 days). Upon client request, we can also provide WhatsApp or Telegram updates for smaller projects.
